Privacy Policy
Remote Accounting Team
Effective: October 26, 2026
1. Who we are
This website, remoteaccountingteam.com, is operated by REMOTE ACCOUNTING TEAM SAS, NIT 902101793-8, a company organized in Colombia, with its address at DG 75 C No. 2 A-46, Of. 328, Medellín, Colombia ("Remote Accounting Team", "we", "us"). We are the controller of the personal information described in this policy.
This policy covers this website only. Information about our clients' businesses, systems and records is protected by the confidentiality terms of each client agreement and is not covered here.
2. What we collect
What you send us. When you use the contact form, we receive your name, work email address, company name, the topic you select, your message, and basic context about your visit that the form sends with it. The form also has an optional field, "How did you find us? If an AI assistant, what did you ask?" We use your answer only to learn how people find us; you can leave it blank. When you book a call, we receive the details you enter on the scheduling page, such as your name, email address and any notes.
What our systems record automatically. Our hosting provider keeps standard server logs, including IP address, browser type, pages requested and time of request, for security and operations. We also measure how the website is used, as described in section 8: without cookies unless you accept them.
What we do not want from you. Please do not send bank credentials, passwords, government identification numbers, or other sensitive personal information through the contact form or booking notes. We do not need it to reply to your enquiry.
3. Why we use it
We use this information to reply to your enquiry, schedule and hold calls, prepare a scoped quote if you ask for one, operate and secure the website, understand which pages help visitors, and comply with our legal obligations. We do not use it for advertising, and we do not sell it.
By submitting the contact form or booking a call, you authorize us to process your information for these purposes.
4. Who receives it
We use service providers to run the website and handle your enquiry:
- Cloudflare, which hosts the website, processes contact-form submissions and routes our email.
- Cal.com, which provides the scheduling page. Cal.com handles the booking details you enter under its own privacy policy.
- Google (Gmail), our email provider, which stores the messages we receive.
- Google (Tag Manager and Analytics), which measures visits, without cookies unless you accept them.
- Microsoft (Clarity), which provides heatmaps and session recordings with the text on our pages and anything you type masked, without cookies unless you accept them. Microsoft handles this data under the Microsoft Privacy Statement.
We share information with these providers only as needed to run the website and reply to you. We may also disclose information where the law requires it. We do not sell personal information and we do not share it for advertising.
5. International transfers
We operate from Colombia, and our providers process data in the United States and other countries. By using the contact form or booking a call you authorize the transfer and processing of your information in those places.
6. How long we keep it
- Enquiries and booking details from people who do not become clients: up to 3 years after your last contact with us.
- Client accounting data we handle for a client: for the engagement plus up to 7 years, or as the client agreement specifies, then returned or deleted.
- Contracts, invoices and payment records: 10 years after the last related document, as Colombian commercial law requires (Law 962 of 2005, art. 28).
- Server and security logs: kept by our hosting provider for about 30 days, longer only to investigate an incident.
- Proof of your authorization: as long as we use your information and for the time needed to prove it afterward.
- Google Analytics: up to 14 months.
- Microsoft Clarity: session recordings 30 days; heatmaps 13 months.
- Analytics cookies, if you accept them: they expire within 13 months.
When each period ends we delete the information, or sooner if you ask, unless the law requires us to keep it.
7. Your rights
You can ask us to tell you what personal information we hold about you, to correct it, to delete it, or to stop using it, and you can withdraw the authorization you gave us at any time. Send your request to info@remoteaccountingteam.com. We will reply within the time the law allows.
If you are in Colombia, you have the rights recognized by Law 1581 of 2012 and its regulations, including the right to know, update and rectify your information, to request proof of your authorization, to be told how your information is used, to revoke your authorization and to request deletion, and to file a complaint with the Superintendencia de Industria y Comercio. If you are a resident of a US state with a privacy law, you may have similar rights to access, correct and delete your information, and we will honor those requests through the same email address.
8. Cookies and analytics
When you first visit, a banner asks for your choice: "Accept all", "Only necessary", or "Choose" to turn analytics and session recordings on or off separately. Until you choose, and after "Only necessary", measurement runs without cookies.
- Without cookies, before and without your consent: Google Analytics, loaded through Google Tag Manager in consent mode, receives a signal for each page view and event, such as a message sent or a call booked, without setting cookies or any ID that links your visits. Microsoft Clarity runs in its no-cookie mode, with a new ID on every page view, and masks the text on our pages and anything you type, so it shows clicks and scrolling but not what you write.
- Analytics cookies, only if you accept: Google Analytics sets its cookies (
_ga) so it can link your visits and record the pages you view, your device and browser, your approximate location and how you reached the site. - Session recordings, only if you accept: Microsoft Clarity sets its cookies (
_clckand_clsk) so it can follow your visit across pages and replay it, with the same strict text masking, plus heatmaps of where people click and how far they read. - Without cookies, for everyone: Cloudflare Web Analytics counts visits, pages, referring sites and countries without cookies or personal identifiers.
We do not use advertising cookies. Our scheduling provider, Cal.com, may set cookies that are necessary to run its booking tool on the booking page. The website keeps one small record of your cookie choice in your browser so we don't ask again, and uses your browser's session storage to carry the topic you pick and how you reached the site over to the booking page and the contact form; session storage is cleared when you close the tab. If you withdraw consent, we delete the analytics cookies already set. You can change your choice at any time with , also in the footer of every page.
9. Security
We use reasonable technical and organizational measures to protect information submitted through this website.
10. Children
This website is for business use and is not directed at children.
11. Changes to this policy
We may update this policy. The current version is always on this page, with its effective date at the top.
